How Much Does Custom Software Cost in Kenya?
Short answer: there is no single price for custom software, and anyone who quotes one before understanding your process is guessing. We quote every system after a scoping session, because the cost depends on what the software must do, how many people use it, what it connects to and how it will grow. Once the scope is agreed, you get a fixed written quote that doesn’t change.
That can feel frustrating when you just want a number. This guide explains exactly what drives the price, so you can judge quotes, plan a budget and decide what to build first. See our business systems and web application development services for what we build.
| Cost driver | Lower cost | Higher cost |
|---|---|---|
| Features | A few core workflows | Many modules and complex rules |
| Users and roles | One team, simple permissions | Many roles, branches and approvals |
| Integrations | None or one | M-Pesa, KRA eTIMS, SMS, banks, other systems |
| Data | Starting fresh | Migrating years of messy records |
| Platforms | Web app only | Web plus Android and iOS apps |
| Reporting | Standard lists | Custom dashboards and exports |
| Support | Basic | Guaranteed response times, ongoing development |
Why there’s no one price
Two businesses can both ask for “an inventory system” and need completely different things. One wants a simple stock list for one shop. The other needs multiple warehouses, batch tracking, purchase approvals, M-Pesa payments and KRA eTIMS invoices. Same name, very different software. That’s why we scope first.
1. Features and workflows
The biggest factor is how much the system must do. Each workflow, such as capturing an order, approving a purchase or generating a report, needs to be designed, built and tested. Rules and exceptions add work: discounts that apply only on weekends, approvals above a certain amount, or different prices for different customers.
2. Users, roles and locations
A system for five people in one office is simpler than one for 200 staff across branches, each seeing different data. Permissions, audit trails and multi-branch reporting all add to the build.
3. Integrations
Connecting to other systems is often where hidden complexity lives. Common ones in Kenya include M-Pesa, KRA eTIMS, bulk SMS, bank feeds, accounting software and WhatsApp. Each integration needs setup, testing against the provider’s rules and error handling for when the other side is down.
4. Data migration
Moving old records from spreadsheets or an older system means cleaning duplicates, mapping fields and checking totals. Messy data takes longer than people expect.
5. Web, mobile or both
A web app that works in the browser on any device is usually the most cost-effective. Separate Android and iOS apps add design, build, testing and app-store work. See mobile app development in Kenya.
6. Reporting
Standard lists and exports are straightforward. Custom dashboards, charts and scheduled reports for management take more time.
7. Hosting, security and support
Software needs a secure server, backups, updates and someone to call when something goes wrong. Plan for running costs, not just the build.
How to keep the cost under control
- Start with the problem, not a feature wish-list.
- Build in phases. Launch the core workflow first and add modules once it’s in use.
- Use ready-made where it fits. For sales tracking, our Butterfly CRM starts from USD 25 (KES 3,000) a month and may cover what you need without custom work.
- Have one decision-maker who can answer questions quickly.
How our quotes work
We start with a discovery and scoping call, map your process and agree the scope in writing. You then get a fixed quote with the price, phases and timeline. It doesn’t change once accepted. You pay a 60% deposit with the balance at launch, you own the system, and we include handover training. Timelines are guidelines, and many projects finish early. A worked example of how scope changes cost
Picture two versions of the same idea: a booking system for a service business.
- Version one: customers book a slot, staff see a calendar and an admin downloads a monthly report. One user role for staff and one for the owner. No integrations.
- Version two: the same booking flow plus M-Pesa deposits, SMS reminders, three branches with their own staff, a customer mobile app, stock used per appointment and an accounting export.
Version two is not a little more expensive. Each payment, message and accounting connection must be built and tested. Each branch adds permissions and reports. A mobile app is a second product to design, build and publish. That is why we can only give a fixed price once the scope is written down.
What happens during scoping
- Discovery call: we learn how your business works today and what is slowing it down.
- Workflow mapping: we list every user, every screen and every step, from the first click to the final report.
- Integration check: we confirm which outside services the system must talk to, such as M-Pesa, SMS or accounting tools.
- Written scope and fixed quote: you get a document listing what is included, the phases and the price.
Once you accept, a 60% deposit starts the work and the balance is due at launch. The fixed quote never changes for the agreed scope, you own the finished system and training for your team is included.

Frequently asked questions
How much does custom software cost in Kenya?
It depends on features, users, integrations, data migration, platforms and support. We quote after a scoping session, then fix the price in writing.
Why can’t you give me a price straight away?
Because two systems with the same name can differ hugely in scope. A price before scoping is a guess that usually changes later.
Can I build my system in phases?
Yes, and we recommend it. Launch the core workflow first, then add modules as the business uses it.
Will the price change during the project?
No. Once you accept the fixed written quote, the price for that scope doesn’t change.
Who owns the software?
You do. You own the system and we include handover training for your team.
What do I need to prepare before scoping?
A short description of how the work is done today, the people who will use the system, any tools you already use and examples of the reports you need. Rough notes are fine.
Want an honest estimate for your system?
Book a scoping call and tell us what the system needs to do. You’ll get a fixed written quote once the scope is clear. During working hours (Monday to Friday, 8am to 6pm EAT) we reply within minutes on phone or WhatsApp at +254 705 828 000.
